SafeACS Attendance Monitoring

High-capacity facial attendance monitoring with real-time alerts.

The problem

Attendance data is usually collected accurately and then corrected extensively by hand. Buddy punching, missed scans, shift patterns the system does not model and exceptions approved over WhatsApp mean the file that reaches payroll is the product of a week of administration. The disputes that follow are expensive precisely because nobody can show the employee what the system actually recorded.

Who this is for

  • HR and payroll teamsA file that needs correcting less, and a record that settles a dispute
  • Shift and site supervisorsExceptions visible on the day rather than at month end
  • FinanceOvertime and absence costs that reconcile to what was actually worked

What people use it for

Shift-based workforces

Rotating patterns, night shifts and cross-midnight boundaries, which is where most attendance systems quietly get it wrong.

Multi-site and contractor attendance

One record across locations, including contractors billed by hours attended.

Overtime and absence control

Patterns visible while they can still be managed, not after they are in the payroll run.

Payroll integration

Approved hours flowing to payroll with the exceptions already resolved and evidenced.

What it needs to work

  • Your shift patterns, rules and rounding conventions, written precisely
  • The employee record from HR — this system should not be a second source of who works here
  • Terminal locations, and the entry points people actually use
  • Your payroll system and the format it expects

How it works

  1. Capture

Biometric recognition at the terminal, which removes the transferable credential and the buddy punch with it.

  2. Apply the shift rules

Rounding, grace, break and cross-midnight handling applied consistently rather than interpreted per supervisor.

  3. Raise the exception

Missed scans, short shifts and unusual patterns surfaced to the supervisor the same day.

  4. Correct with an audit trail

Every manual correction records who changed what, when, and why — which is what makes the record defensible.

  5. Approve and export

Approved hours to payroll in its own format, with the exceptions already closed.

  6. Let the employee see it

Staff can view their own record. Most disputes disappear when the person can check it before payday rather than after.

How we deliver it

  1. Rules workshop

Writing the shift and rounding rules precisely, which is usually the first time they have been written at all.

  2. Terminal siting and enrolment

Where people actually enter, planned around shift change so enrolment does not stop production.

  3. Parallel run against payroll

One or two cycles alongside the current method, until the hours agree and the differences are explained.

  4. Cut over and support

Switch, with the first live payroll cycle supported closely because that is where the remaining rule gaps appear.

Where it runs

  • On-premises server with the biometric database inside your network
  • Terminals that queue offline and sync when the network returns
  • Integration to HR for the employee record and to payroll for the output

Security and governance

  • Encrypted biometric templates on your infrastructure, not images
  • Attendance used for attendance — not repurposed into productivity monitoring
  • Employees can see their own record, which is both fair and the cheapest dispute control
  • Every manual correction attributed and retained

Timeline

The rules workshop and enrolment set the schedule, not the installation. Parallel running for at least one full payroll cycle is where undocumented rules surface, and shortening it moves those surprises into a live payroll — which is the most expensive place to find them.

What you receive

  • Installed terminals with offline queueing, and the server configured
  • Shift and rounding rules documented and implemented as written
  • Exception workflow with a full correction audit trail
  • Payroll export in your system's format, reconciled over a parallel run
  • Employee self-view, and administrator training

What this does not do

This records attendance. It is not a productivity measure and should not be presented to staff as one — the fastest way to lose a workforce's cooperation is for an attendance system to start appearing in performance conversations. It also cannot resolve shift rules that were never agreed: where two supervisors round differently, the system will expose the difference rather than settle it, and someone has to decide.

Questions we are asked

What happens if the network goes down?

Terminals queue locally and sync when it returns. An attendance system that stops recording during an outage creates exactly the manual correction burden it was bought to remove.

Can it handle night shifts crossing midnight?

Yes, and it is worth asking any supplier this specifically — it is the single most common source of wrong attendance figures, and it is decided by how the rules are configured rather than by the hardware.

About the figures on this page

This page describes capability and method. It does not publish accuracy figures, throughput numbers or delivery dates, because those depend on your data, your systems and your scope — and a number published here would be wrong for most readers. You get them, in writing and against your own data, at scoping.

A first call is a technical conversation, not a pitch: what you have, what you need, and whether this is the right approach at all.
